ASSEMBLY

A general or formal meeting of an organization attended by representatives of its members for purposes such as deciding legislative direction, policy matters, holding elections, or conducting governance business of the organization. It is not uncommon for the leadership of the association, corporation or organization to address its members during an assembly. An assembly usually observes certain rules of procedure for its meeting, generally prescribed in its articles and by- laws.

ASSEMBLY

(not a type of meeting)

To fabricate, erect or compose a complete exhibit, display, arrangement or unit (such as the booths at an exposition) by piecing/fitting together its component elements (parts).
The opposite of assembling is dismantling.

BREAK OUT SESSIONS

Relatively short meeting sessions (generally a workshop, discussion, or presentation) where a small group of attendees drawn from a large conference or convention, discuss specific topics or aspects related to the broad theme of the main gathering. Generally multiple breakout sessions occur simultaneously, with all attendees participating in a small group for a designated period of time before returning to re-join the greater group.
Breakout sessions are programmed into an event and run apart from the main session(s).

CLINIC

A clinic is a workshop style educational session where participants learn by doing. It can either be attended by a small group interacting with each other or be led by teaching staff. It’s objective is to offer counsel or instruction in a particular field of activity.

COLLOQUIUM

An informal meeting for the purpose of discussion; usually of an academic, scholastic or research nature and in order to ascertain (discover) areas of mutual interest through exchange of ideas. Conducted as and when convenient, but with little regularity. It usually takes the form of a lecture followed be a question and answer session.

CONCURRENT SESSIONS

Multiple sessions scheduled at the same time. Programs on different themes or subjects scheduled simultaneously (at the same time)

CONFERENCE

1) Participatory meeting designed for discussion, fact-finding, problem solving and consultation. Conferences are usually general sessions with a high level of group participation.
2) An event used by any organization to meet and exchange views, convey a message, open a debate or give publicity to some area of opinion on a specific issue.

No tradition, continuity or timing is required to convene a conference. conferences are usually of short duration with specific objectives, and are generally on a smaller scale than congresses or conventions. In the UK, the word ‘conference’ is generally used to describe nearly every type of meeting.
Conferences are mainly confined to members of the same company, association or profession. The typical level of attendance for a conference range from 30 to 150 delegates and are generally on a smaller scale than congresses or conventions

CONGRESS

1) The regular coming together of large groups of individuals, generally to discuss a particular subject. A congress will often last several days and have several simultaneous sessions. The length of time between congresses is usually annual, although some are on a less frequent basis. Most international or world congresses are latter type; national congresses are more frequently held annually.
2) European team for conventions.

CONVENTION

Gathering of delegates, representatives, and members of a membership or industry organization convened for a common purpose. Common features include educational sessions, committee meetings, social functions, and meetings to conduct the governance business of the organization. Conventions are typically recurring events with specific, established timing.
The term ‘convention’ is widely used in the US to describe larger meetings with a formal structure usually extending over several days and often comprised of many different functions such as board of director meetings, general assemblies, symposiums, workshops, exhibits and so on.

DEALER MEETINGS

Meetings held both on a regional and national basis for dealers and distributors. Usually to introduce new sales and advertising campaigns and new products.

FORUM

Open discussion with a panel (experts in a specific field), audience, and moderator. The discussion may be preceded by the panel members give short presentations, usually expressing different views. Subjects of public interest are commonly discussed at forums.

INCENTIVE MEETINGS

Incentive meetings are events which are specifically designed to reward the participants (employees, distributors and dealers) for high achievement, top performance, effort and contribution. Incentive programs are often staged at upscale international destinations and include high quality leisure and entertainment experiences. Spouses are usually invited. The entire program is paid for by the company or organization.

PLENARY SESSION

General assembly for all participants in a conference or other formal gathering. Prominent speakers address the attendees at these plenary sessions. Plenary sessions are typically scheduled both near the start of a conference, and in the latter half, but not typically at the final hour, due to many attendees leaving before the last day. During those sessions, typically all others activities are suspended, or exhibit halls closes, to allow everyone to attend the plenary talks or sessions. Derived from the Latin root plenarius meaning “full” or ‘absolute’.

RETREAT

Usually a small meeting, typically in a remote location, for the purpose of bonding or intensive planning sessions or simply to ‘get away from it all’.

SALES MEETING

1) A meeting dealing with such company objectives as product introduction, sales policies, company goals, discussion of sales techniques, and morale boosting.
2) A gathering in which a product or service is being discussed, and the benefits are outlined to the potential buyer. The sales meeting is not always a presentation format, it can sometimes be an informal conversation, phone call or online affair and in most cases do not require hired dedicated meeting venues. A sales meeting is held between the initial contact and final purchase, in order to entice the customer.

SEMINAR

1) Lecture and dialogue allowing participants to share experiences in a particular field under the guidance of an expert facilitator
2) A meeting or series of meetings of a small group of specialists who have different skills but have a specific common interest and come together for training or learning purposes.
Note – At North American universities, the term “seminar” refers to a course on intense study relating to9 the student’s major.

SUMMIT

A conference or meeting attended by heads of government, heads of state or high-level political leaders/officials usually with the purpose to shape a program of action. Summits usually draw considerable media exposure, subject to tight security, and have prearranged agenda.

SYMPOSIUM

A meeting of a number of experts in a particular field, at which papers are presented and discussed by specialists on a particular subject with a view to making recommendations concerning the problems under discussion and consists of an extensive two-way flow of information. A symposium is a similar in style to a seminar.

WORKSHOP

1) Meeting of several persons for intensive discussion. The workshop concept has been developed to compensate for diverging views in a particular discipline or on a particular subject.
2) Training session in which participants, often through exercises, develop skills and knowledge in a given field.
3) Informal and public session of free discussion organized to take place between formal plenary sessions or commissions of a congress or of a conference, either on a subject chosen by the participants themselves or else on a special problem suggested by the organizers.
